Privacy Notice
How Hampshire Clinic collects, uses and protects the information you send us through this website.
Last updated: 14 October 2026
Who we are
Hampshire Clinic is an aesthetic, skin, laser and wellness clinic with branches in Shah Alam and KL Melawati, Selangor. We are the party responsible for the personal information described in this notice, and our team decides how and why it is used.
What this notice covers
This notice covers this website: the appointment request form, the WhatsApp button, and the information our web server records while you browse. It does not cover the clinical records we keep once you become a patient, or websites we link to — such as Google Maps for directions or WhatsApp for messaging — which have their own privacy notices.
Information we collect
We collect what you choose to give us, plus the minimum technical information needed to run the site:
- Appointment request — your name, mobile number, preferred branch and the concern you select. Nothing else is required by the form.
- WhatsApp — if you use the WhatsApp button, WhatsApp opens with a prepared message and we receive whatever you choose to send us.
- Server records — like most websites, our hosting server logs basic request data such as IP address, browser and device type, the page requested and the time of the request, for security and to keep the site working.
- Not collected — no card or payment details, no identity documents and no medical records are collected through this website, and there is no account or password to create.
- Optional extra questions — the clinic can switch on extra questions in the form (an email address, a short message, a preferred date or time). None of them is required. If you leave an email address, we send you one short confirmation that your request arrived; this website cannot subscribe you to anything.
Why we use it
- To reply to your appointment request and arrange a consultation at your preferred branch.
- To answer questions you send us by WhatsApp or email.
- To keep the website secure, prevent misuse and fix faults.
- To meet our record-keeping and other legal obligations.
We do not use your details for unrelated marketing, and we do not sell, rent or trade personal information.
Consent and your choices
Under Malaysia’s Personal Data Protection Act 2010 (PDPA), we handle the information you send through this website on the basis of the consent you give when you submit the form or message us, together with our legitimate need to respond to your enquiry and keep proper records. You may withdraw that consent at any time — see Your rights below. If you withdraw it, we may no longer be able to follow up on your enquiry.
Who we share it with
- The Hampshire Clinic team members who handle your enquiry.
- Service providers who host this website or handle our email and messaging, acting only on our instructions.
- WhatsApp (Meta Platforms), when you choose to contact us through WhatsApp — that conversation is also subject to WhatsApp’s own terms.
- Authorities or professional bodies, where the law or medical regulation requires it.
We do not sell or trade your information to anyone.
Cookies, analytics and third parties
This website sets no cookies of its own, and no analytics or advertising tags are active on it. Fonts and images are served from our own server, so simply reading a page does not contact Google or any other font or image service. If we add analytics, advertising or online booking tools later, we will update this notice and ask for your consent where the law requires it.
Reviews and ratings on this website
Our patient reviews are published by patients of the clinic and shown with the display name used on the public review. The rating shown beside them is the score on the clinic’s public Google listing, linked to that listing — it is not calculated or adjusted by us. Reading this page sends nothing to Google; only following the link contacts them, and Google’s own privacy notice then applies.
How long we keep it
Appointment requests sent through the form are stored in the clinic’s website system, where only authorised clinic staff can see them, and are kept only as long as we need them to deal with your request and to keep proper administrative records, after which they are deleted. If you become a patient, your clinical records are created and kept separately, for the period required by medical-record rules, and are not part of the form on this website.
How we protect it
Access to enquiry details is limited to authorised clinic staff. This website is served over an encrypted (HTTPS) connection and the form is submitted over that connection. No system can be guaranteed completely secure, but we keep access restricted and review it as the site and our processes change.
Your rights
Under the PDPA you may:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct information that is inaccurate, incomplete or out of date.
- Withdraw your consent, or ask us to stop contacting you.
- Ask us to limit how your information is used, or to delete it where we are not required to keep it.
- Ask how your information has been used and who it has been disclosed to.
Contact us using the details below and we will respond within the period the PDPA allows. If you are not satisfied with our response, you may raise the matter with the Personal Data Protection Commissioner (Jabatan Perlindungan Data Peribadi), Malaysia.
Children
This website is intended for adults. If you are under 18 and would like a consultation, please ask a parent or guardian to contact us on your behalf.
Please do not send medical details through the form
The form is for arranging an appointment, not for medical information. Please do not include symptoms, medication or medical history in it — we go through those privately during your consultation with the doctor.
Changes to this notice
If we change how we handle personal information, we will update this page and the date shown at the top. The version published here is always the current one.
